Policies

Room Reservations and Set Up:

All reservations for event locations and set ups are the responsibility of the client and should be made prior to scheduling catering event. Perkins Management Services Company can then assist you in drafting a floor plan to best suit your specific event. It is the responsibility of the organization or the person booking the event to have the event location accessible for set up/delivery. In the event the location is inaccessible, you may incur an additional expense for redelivery and/or set up. After reserving your room, please contact Catering Services to discuss the details of your event.

When scheduling services, we will need the following information:

  • Date and time of the event
  • Location of the event
  • Name of the organization and contact person
  • Estimated number of guests
  • Type of Service required

Guarantees, Payment and Reservations

Perkins Management Services office hours of Operation are Monday thru Friday, 8:30am – 5:00pm in accordance with the College calendar. Events scheduled on College shut down periods or holidays will incur additional charges.

Staff Delivery and Rental Charges:

To help us better serve you, we would prefer that you give us as much advance notice as possible so that we may solidify all aspects of your event and receive a fifty percent deposit upon scheduling of your event with the balance paid in full 24 hours prior to your event date.

All campus groups or organizations should provide a signed and approved service request to our offices 72 hours prior to event date.

All outside groups or organizations are required to submit payment in full 72 hours prior to the event date in the form of Cashier’s Check or Money Order.

Perkins Management Services will only recognize cancelled events by receipt of a signed copy of that events function sheet indicating cancellation 24 hours prior to events scheduled time. Events cancelled within 24 hours may incur a cancellation fee for expenses incurred. Events cancelled on the day of the event will incur all expenses incurred by Perkins Management Services such as Wait staff, Floral Arrangements or Rental Equipment as well as a Cancellation fee.

Required Wait Staff Wait Staff and Bartenders:

Are scheduled in accordance with function duration. Staff are scheduled minimally 90 minutes prior to function start and minimally 60 minutes beyond function end according to the complexity of each event. All overtime accrued as a result of functions extending beyond scheduled ending times will be billed supplementary to your account, for College groups.

  • VIP Served Breakfast, Lunch or Dinner with China, Glass and Silver, One Server per 10 guests (Per set)
  • VIP Buffet Continental Breakfast or Reception with China, Glass and Silver, One Server per 20 guests (Buffet)
  • Served Breakfast, Lunch or Dinner with China, Glass and Silver, One Server per 20 guests (Preset)
  • Buffet Breakfast, Lunch or Dinner with China, Glass and Silver, One Server per 30 guests (Preset/one per every V20 guest)
  • Buffet Breakfast, Lunch or Dinner with Quality Paper and Plastic, One Server per 40 guests
  • Continental Breakfast or Reception with China, Glass and Silver, One Server per 40 guests
  • Continental Breakfast or Reception with Quality Paper and Plastic, One Server per 50 guests

Normal service time is two hours for full-service functions. Any event over two hours will be charged for each additional hour, plus an overtime fee. If you think your event will exceed two hours, please consult Catering Services in advance.

Pick up and Delivery

A Classic Affair™ Catering provides complete pickup and delivery services. Events that required use of china will be charged per person. To ensure quality services pickups and deliveries for each order will occur as scheduled. Please ensure that facilities are unlocked for setup, delivery, and or pickup services. In the event that equipment, china, etc are missing the necessary charges will be added to the final bill. For health safety reasons, all leftover food items are the property of Perkins Management Services Company.

China, Linen and Skirting

Continental Breakfast or Reception Full Meal China Service Bar China Service In house linen and skirting for buffet tables are included in the price of event. All other tables requiring linen only will incur an additional charge per table. Tables requiring linen and skirting will incur an additional charge per table.

Floral Arrangements and Specialty Linen

Floral arrangements are available in a variety of sizes and colors for an additional charge. Please contact the catering manager or director to discuss floral arrangements and pricing. (The client is responsible for the tax and delivery charges and a 25% service charge.) Specialty linen tablecloths and napkins in an array of colors, floral prints and seasonal designs are also available. Please feel free to make an appointment with the catering manager or director to discuss specialty linens and /or other specialty items you may be considering to add ambiance to your event. This is available for an additional cost.

Event Duration

Any event over two hours will be charged for each additional hour, plus an overtime fee. If you think your event will exceed two hours, please consult Catering Services in advance.

Unconsumed Food

DUE TO BOARD OF HEALTH REGULATIONS, THE NATURE OF CATERING SERVICES AND IN AN EFFORT TO ELIMINATE THE POSSIBILITY OF FOOD POISONING ANY FOOD NOT CONSUMED MAY NOT BE REMOVED FROM THE SERVING LOCATION. UNCONSUMED FOODS REMAINS THE PROPERTY OF PERKINS MANAGEMENT SERVICES COMPANY. ALL DELIVERIES ARE FOR IMMEDIATE CONSUMPTION AND PERKINS MANAGEMENT SERVICES COMPANY ASSUMES NO RESPONSIBILITY FOR ANY IMPROPER HANDLING.

Ordering Polices

Prices listed are per person unless noted. Sales tax will be added to the invoice. When booking an event, an estimate will be provided. This amount is strictly an estimate and may vary from the final cost due to customer changes. Then final cost will be given no later than three days prior to the event.

Checks or money orders should be made payable to Perkins Management Services Company. On-Campus groups must provide their departmental account number to Perkins Management Services prior to the event. Buffet Meals require a minimum guest count of 25. If special arrangements are necessary, please contact the catering department.
